Sheffield launch and upcoming modules

Hello there folks,
I'm starting a discussion here to talk about the upcoming milestones / Sheffield launch ahead of the next Programme Planning meeting on Tuesday 5th. I think it would be a good idea to try and nail down thoughts/ideas on how we break down the Sheffield launch and distill the work into some clear milestones. I'm also using the Strategy Chapter planning doc too: Sheffield Chapter strategy 2024 In my head I'm thinking of Sheffield as an epic? And then having a set of milestones to implement the epic? This kind of planning is new to me so it's just a launchpad for discussions and ideas. This discussion will probably capture goals for Q2/Q3 too

From current discussions with people across the organisation, here are some of my starting thoughts on goals/priorities:

Getting feedback to trainees on the course (normally code reviews)

• Do cohort founders know that code review is a priority. How do you know they know?
• How do new cohort founders know that code review is a priority?
• How do cohort founders communicate this goal routinely with other volunteers?
• How do volunteers find out what and how to review?

Burnout from staff or trainees

• Is the cohort founder role clear?
• Do volunteers know who to ask for support if something like code reviews aren't working?
• Have volunteers been trained in their roles?
  Are volunteers communicating and collaborating?

Cohort launch process

• Is the cohort launch process clear and compact as possible?
• Is the cohort launch process duplicated? Is it easy to find?
• Has it been tested?
• Has it been reviewed?

Cohort founder recruitment

• Is the cohort founder role agreed and clear to us? Is it communicated clearly to the volunteers? When is it communicated to the volunteers?
• Is the nature of the commitment clear to cohort founders before they start their role?
• Do new cohort founders know about the cohort milestones? Do they know why the milestones are important?
• Do the cohort founders plan and act as a group?

Outreach and new cohort advertising

• Is the nature of the course (flipped classroom) clear to trainees before they start?

Volunteer onboarding

• How do volunteers learn about the CYF community and how can they get involved with it?
  |How do volunteers learn about the new curriculum?

Volunteer contribution

• How do volunteers learn how they can contribute to a given cohort?

Class planning

• How do trainees and volunteers effectively plan the Saturday class?

Curriculum

• Trainees and volunteers actively self-organising in the delivery of the course
• Trainees can learn and adapt to a framework that isn't part of the in-house curriculum
• Feedback loops are created for PD and Tech-Ed teams (volunteers and staff)
• Systematically evaluate trainee performance at the end of JS3

♟️ Rough strategies

• Staff training, cohort founder training, communicating and publishing rhythm of the week
• Communicate and educate staff and company
• Break the SDC course into 2 distinct parts at end of JS3 (lots of documents and discussions make reference to this)
• Clarify expectations from trainees as early as possible (like in the advertising/website etc)

Milestones

• 🥌 Cohort launch board? - @SallyMcGrath @kfklein15 you referenced this milestone in a recent issue
• 🔈 Communication strategy - I've already tentatively written up a milestone for this
• Rhythm of the week - @MarianaVazquezCYF suggest this milestone be part of the Sheffield launch. I think it's too late to turn the truck around with WM5 and NW6. Also buys us more time to
